How do you backup Microsoft Teams?
First question; do we need to backup Microsoft
Teams. MS team is cloud base application. Microsoft Teams is part of office 365
suite. Microsoft Teams has taken off as the central hub for collaboration in
Office 365 suite. Teams has the ability to connect all other applications and
facilitate teams to collaborate the work easily.
Can be the main quarry, what exactly can be backed up
in MS Teams. There is no simple answer to it. Backing up Microsoft teams can
be very complicated. However, there are ways of guaranteeing your content is
protected within Microsoft Teams. When we are talking about content, the main
contents are chats and files. Even though mentioned here chat and files are
important, MS Teams is a hub for many services such as Office 365 groups, SharePoint
Online, Exchange Online, Planner, OneNote.
Microsoft Teams Chats
Teams Chats can be One to One(1:1) or One to
Many(1:M). also, there are Channel Chats available too. All sort of
chats is stored within Exchange Online mailbox. User must have an exchange
online mailbox in order to store the chats of 1:1/1:M. Exchange on-premises
mailboxes are not supported.
1:1/1:M conversations get saved within a hidden
folder within the users’ Exchange mailboxes. Channel chat also uses the same method
and the conversations are stored to a hidden folder within the Office 365 Group
mailbox for the team.
Currently, the user does not have ability backup or
restore messages from within the Chat Service. however, user can protect the
copies of those conversations for a certain time to ensure they can be restored
when they get deleted or lost.
Office 365 Security Compliance Centre is the tool
that can create rules to protect the copies of those conversations. The conversation needs to protect within the appropriate mailboxes. By default, conversations
removed from the Deleted Items in Microsoft Outlook are recoverable for 14
days. If the items are configured under a litigation or in-place hold, then
this will protect the archived copies hidden in the mailbox.
These items can be stored either for a set period
of time or indefinitely, and then recovered from the eDiscovery Centre within
the Office 365 Security and Compliance Centre. You can even set these hold
policies to just IM messages so that only Teams messages will be held.
Microsoft Teams Files
When you send files within chats in MS Teams,
either in 1:1 chats or channel chats, you are not sending copies of files to
the other party. They are actually using the native functionality of OneDrive
for Business or SharePoint Online.
If you share a file in a chat conversation, that the file will upload into an MS Teams Chat Files folder with your default OneDrive
for Business folder.
Then it creates the essential sharing permissions
for the other person in the chat to access the documents or files.
When sharing a file or a document within a Channel
conversation, these files are uploaded into the Channel’s folder within the
SharePoint Online document library and it will assign necessary permission to
allow access to all the members of the team.
Once these files are uploaded to either OneDrive
for Business or SharePoint then you can use the native tools to protect them.
By default, all deleted files are held in the Recycle Bin within Exchange
Online. The items are recoverable for a maximum of 93 days by users within
SharePoint Online. Once the period is exceeded oldest items are purged.

The Security and Compliance Centre provides the ability to create office 365
retention policies that can be assigned into multiple services such as
SharePoint Online and OneDrive for Business. When focusing on retention, deleted
files store in these services are copied to and stored in the Preservation Hold
Library. For Best Practice makes sure policy compliance apply into Items that
held in Preservation Hold Libraries cannot be deleted or removed.
Retention policy provides guides of the length of time items are held.
Please note that retention periods are configured based on item creation,
modification or labelling date that is meaning that they are not equivalent to
backups, which can be retained for a period that starts from the point the
backup was taken.
Backup Solutions
Teams has a lot of moving parts. There are third
party vendors that specialized in SharePoint backups, Exchange Backups or both.
Teams is the collaboration application of all these. You can use Backup solution to
backup all the services of Teams and use the copies to restore when need them.
